Adding Documents, Files, or Notes to a Contact

Keep all important information about your contacts organized by adding documents, files, and notes directly to their CRM records.

The ability to upload documents and files, and add notes to contacts makes it easy to store contracts, agreements, verification documents, or any other relevant files in one central location.

What you can store in a contact page

You can attach different types of information to a contact, including:

  • Contracts or reports.
  • Signed agreements.
  • ID verification documents (passport, driving license, etc.).

Access the contact page

To add notes, files, or documents do the following:

  1. Go to Jetpack CRM → Contacts, or from any Jetpack CRM admin page, use the top menu: Contacts → View All.
  2. Click a contact to view its record.
  3. Scroll to the bottom of the contact page to find the Files tab, where you can upload documents.

Review file upload settings

Before uploading files, review your settings to control file types and permissions:

  1. Go to Jetpack CRM → CRM Settings → General.
  2. Under “File Attachment Settings”, adjust allowed file types and team permissions as needed.

Add documents or files

To upload a document or file to a contact, follow these steps:

  1. Scroll to the Documents section. Tabs may include Quotes, Invoices, Transactions, Files, and Tasks, depending on your enabled modules.
  2. Click the Files tab.
  3. Click Add File to open the upload page.
  4. Click Choose File and select your file.
  5. Add a title, and description (optional). If using Client Portal Pro, you can choose to display the file in the Client Portal.
  6. Click Save Details.
  7. Refresh the contact page to see the uploaded file under Documents → Files.

Upload files to custom fields

If you created contact custom file upload boxes, you also upload files to that by following these steps::

  1. Click Edit Contact.
  2. Scroll to the custom file upload fields at the bottom.
  3. Click Choose File and select your file.
  4. Scroll up and click Update Contact to save.
  5. Your file will now be visible when viewing or editing the contact.

Client Portal integration (Client Portal Pro)

You can allow clients to view and upload files via the Client Portal, by using the Client Portal Pro extension.

  • To show files in the portal, enable the option when uploading a document/file.
  • Clients can download documents you upload.
  • Clients can also upload files via the “Your Files” tab, if the Allow Contacts to Upload Files option is enabled in the Client Portal Global Settings.

Common file upload errors

Error: The file type that you've uploaded is not an accepted file format.

Go to Jetpack CRM → CRM Settings→ General and review the settings in the “File Attachment Settings” section. Make sure the file type you’re uploading is enabled.

Add Notes (Activity Log)

Notes are useful for tracking calls, meetings, or any important interactions.

To add a note, follow these steps:

  1. From the contact page, click Contact Action → Add Log, or Contact Action → Edit Contact.
  2. Scroll to the “Activity Log” section (use Page Options to ensure it’s visible).
  3. Click Add Log.
  4. Select the Activity Type (note, call, meeting, etc.).
  5. Enter your description and details.
  6. Optionally, click Pin Note to keep it at the top.
  7. Click Save Log.

Editing or Deleting Notes

If you need to edit the note, hover over the note in the contact’s Activity Log, where you’ll see these options:

  1. Click the Edit icon to edit the note, make your desired changes, and click the Save Log button to save your changes.
  2. Click the Pin icon to pin or unpin the note in the Activity Log.
  3. Click the Trash icon to delete the note.

Please note that you must be on the Edit Contact page to edit a note (steps one and two of the steps in the above paragraph). You cannot edit your notes from the Activity Log section on the right end of the contact page view.

CRM file storage directory

Files uploaded to contacts are stored in a separate folder, not the WordPress Media Library.

The folder where the CRM contact files are uploaded is the following: wp-content/jpcrm-storage.
